Cancellation Policy
Grace Music Events LLC Booking Policies By booking Grace Music Events LLC (“GME”), Client agrees to these policies. A booking is confirmed after required information, agreement/online acceptance, and payment or deposit are received. Payments: Deposits are non-refundable unless stated in writing. Balances are generally due 30 days before the event. Bookings made within 30 days may require full payment. Cancellations: The Client’s individual contract controls. After the cancellation deadline, the remaining balance may be due in full. Date changes are subject to availability and fees. Time Changes & Overtime: Changes to arrival, start, or end times require approval and may incur a Change of Time Fee up to $175. Overtime is subject to availability and may be charged up to $175 per 15 minutes, per musician. Music Requests: Music must be submitted by the booking deadline and finalized no later than 7 days before the event. Late changes may incur a $25-per-song fee. Not every song is available for every ensemble. Custom arrangements are subject to availability, licensing, fees, and preparation time. Outdoor Events: Musicians must be protected from direct sun, rain, mist, strong wind, and unsafe temperatures. Outdoor performances generally require 50–90°F temperatures and adequate shade. Musicians may pause, relocate, or stop if conditions are unsafe. Venue & Setup: Client/venue must provide safe access, sufficient space, and appropriate armless chairs when required. Parking, valet, tolls, permits, COIs, or venue requirements not included in the quote may result in additional charges. Delays: Event delays do not automatically extend the contracted end time. If musicians can stay, overtime fees may apply. Personnel: Unless a specific musician is guaranteed by name, GME may substitute a qualified substitute due to illness, emergency, or unforeseen circumstances. Recording: Professional recording, livestreaming, broadcasting, monetization, or commercial use requires advance approval. Recording fees may apply, including approximately $90 per musician, per song. Safety: Musicians are not required to perform in unsafe conditions or remain in threatening, abusive, discriminatory, or dangerous situations. By submitting payment, signing a contract, accepting an online booking, or otherwise confirming services, Client accepts these policies. If an individual written contract conflicts with these policies, the individual contract controls.
